Terms and Conditions

Last updated 3 October 2026

The short version

  • One campaign is one role in one location.
  • You pay one flat fee per campaign. There's no fee per hire.
  • For 12 months you can switch that campaign off and on again at no extra fee.
  • Ad spend is separate. You pay it straight to Meta and set your own budget.
  • You own every applicant and decide who to hire. We're not a recruiter.
  • We can't promise a set number of applicants or hires.

This summary is here to help. The full terms below are what apply.

1. About these terms

Rolebase is a hiring system operated by Valiant Digital Pty Ltd, ABN 83 673 258 449 ("we", "us", "our"). These terms apply when you use rolebase.com.au and when you engage us to build a Rolebase hiring system ("you", "your").

When you engage us, you'll also accept an engagement letter. If the engagement letter and these terms ever disagree, the engagement letter wins.

Nothing in these terms limits any rights you have under the Australian Consumer Law that can't legally be excluded.

2. Using this website

You can browse this website for free. Please don't copy, scrape or reuse our content, designs or examples without our written permission, and don't use the site in a way that harms it or other people.

We work hard to keep the site accurate, but the information on it is general. It isn't legal, employment or financial advice.

Examples on this site show real systems we've built. Results for one business don't guarantee results for another.

3. What Rolebase is

Rolebase is a done-for-you hiring system. For each campaign we:

  • build and launch a Meta advertising campaign across Facebook and Instagram, including targeting, budget structure, conversion setup and pixel events;
  • write the ad copy and produce the ad creative (static and video), using media you supply;
  • build a branded job page for the role, usually at yourbusiness.rolebase.com.au;
  • build a screening form with your questions and deal-breakers, with each applicant scored; and
  • connect applications to a live applicant sheet and your CRM.

We are not a recruitment agency. We don't screen, interview, select or place people. Applicants apply directly to your business, and you decide who to hire.

4. What one campaign covers

A campaign is one role in one location, with its own ads, its own job page and its own screening form.

A different role, or the same role in a different location, is a separate campaign with a separate fee. Adding a new campaign doesn't change any campaign you already have.

5. Switching it on and off

For 12 months from the date your campaign launches, you can switch it off and back on as many times as you like for the same role in the same location, at no further fee from us.

Ad spend still applies whenever the campaign is running. Reactivation covers the campaign as built. Changes to the ads, job page or form are new work (see section 11).

6. What's not included

Unless we agree otherwise in writing, these are not included:

  • ongoing campaign management or optimisation after launch;
  • recruitment, screening calls, interviewing or placement;
  • reference, police or background checks;
  • employment contracts, awards advice or any legal advice;
  • on-site filming or professional photography; and
  • buying stock images, video or music.

7. What we need from you

To build your system, you agree to give us:

  • accurate details about the role, including pay, hours, location and requirements;
  • your brand assets and any photos or video for the ads, and the filming of any video we script;
  • admin access to your Meta Business Manager, ad account and pixel, and any domain or CRM access we need; and
  • approvals and feedback on time.

If any of these arrive late, our timeline moves out by the same amount.

8. Ad spend

Ad spend isn't part of our fee. You pay it directly to Meta, so you can see every cent. You set the daily budget and can change it at any time. Around $20 a day per campaign is a good start. You can spend more to get applicants faster, and change it any time.

Meta controls its own platform. We aren't responsible for Meta's policies, ad approvals, account restrictions, outages or pricing changes, though we'll help you work through them where we can.

9. Fees and payment

Each campaign has a fixed, one-off fee. It's a flat fee, not a retainer. There's no fee per hire and no charge based on who you hire. Your fee is set out at checkout or in your engagement letter. All fees are in Australian dollars and exclude GST unless stated.

The full fee is paid upfront, before the engagement letter is signed. Work starts once payment is received, the letter is signed, and your onboarding is complete.

When you pay, your card is securely stored by our payment provider, Stripe. We will never charge it for anything you haven't separately agreed to in writing, and you can ask us to remove it at any time.

10. Timing

We build within 7 to 21 business days of receiving everything in section 7. One review round is included, usually taking 1 to 2 business days. Your campaign goes live when you approve it.

11. Changes and extra work

Extra campaigns, more creative, complex integrations, extra pages, or changes after launch are outside the standard build. We'll quote these separately before doing any work.

12. Hiring laws and ad rules

You're responsible for making sure the job details, pay rates, conditions and claims you give us are true and lawful, including under the Fair Work Act 2009 (Cth) and anti-discrimination laws.

Screening questions must relate to the real needs of the job. We may suggest changes to, or decline to use, any question or requirement that we think could be unlawful or discriminatory, for example questions about age, race, religion, sex, disability or national origin that aren't genuine requirements of the role.

We build to Meta's advertising policies, including its rules for employment ads.

13. Applicant data

Applications from your job page go to your applicant sheet and your CRM. You own your applicant data, and you're responsible for handling it in line with privacy laws that apply to you, including the Privacy Act 1988 (Cth) where it applies.

We handle applicant data only to deliver and support your system, and we don't keep it longer than we need to. See our Privacy Policy for details.

14. Who owns what

Once you've paid in full, you own the final ads and job page content we make for you using your assets. You can keep using them.

We keep all rights in the Rolebase system itself, including our templates, page engine, screening and scoring logic, methods, tools and know-how. You get to use them as part of your campaign, but you can't copy or resell them.

You confirm you have the right to give us any logos, photos, video and other material you supply, and that we can use them to build your campaign.

15. Portfolio

We may show your business name, logo, job pages and ads, and non-confidential details of your campaign, in our portfolio and marketing, unless you ask us in writing not to.

16. Confidentiality

We'll each keep the other's non-public information confidential, and only use it for this engagement.

17. Results

Hiring depends on many things outside our control, including the role, the pay, your location, the job market and how quickly you follow up. So we don't guarantee a particular number of applicants, hires or how long people stay.

18. Liability

To the extent the law allows:

  • our total liability to you for any claim about our services is limited to the fees you paid us for the campaign the claim relates to; and
  • neither of us is liable to the other for indirect or consequential loss, including lost profits or lost opportunities.

If the Australian Consumer Law gives you guarantees that can't be excluded, our liability for breaching them is limited, where the law allows, to supplying the services again or paying the cost of having them supplied again.

We aren't responsible for decisions you make about applicants, or for the actions of the people you hire.

19. Cancelling and refunds

You can cancel before we start building for a full refund. Once the build has started, fees are non-refundable, except where the Australian Consumer Law says otherwise.

We may stop work or switch off a campaign if fees aren't paid, if we're asked to do something unlawful, or if continuing would breach Meta's policies.

20. General

These terms are governed by the laws of New South Wales, Australia, and you agree to the courts of New South Wales.

We may update these terms from time to time. The version on this page applies from the date shown at the top. Changes won't affect an engagement you've already signed.

If any part of these terms can't be enforced, the rest still applies.
